1. Overview
Material Steward is the data steward's workspace for handling Material Requests. Where a requester creates and submits a request, the steward is the person on the receiving end: they review what was submitted, accept it, assign it to the right steward for processing, and — when needed — start requests of their own directly from a system template.
This page shows the requests that have come in for stewardship, rather than the ones you created yourself.
What you can do here
- See the requests submitted for stewardship, with their status.
- Open a request to review its material entries.
- Accept a request and assign it to a data steward.
- Create a system-based request directly from a template.
- Track each request as it moves toward completion.
WHERE TO FIND IT — Material Steward lives under Governance → Material Steward, opening on the request summary. It shows requests submitted for stewardship, not the ones you raised yourself.
2. Key Concept: The Other Side of a Material Request
Material Steward and Material Request are two views of the same requests, seen from opposite sides:
| Material Request | Material Steward | |
|---|---|---|
| Who uses it | The requester | The data steward |
| Which requests it shows | The ones you created | The ones submitted to you for stewardship |
| What you do | Build and submit a request | Review, accept, and assign a request |
In short: a requester fills in a request and submits it; it then appears here for a steward to pick up. The two pages even share the same "Material Request Detail" screen title — the difference is what you can do on it.
STEWARDS REVIEW, THEY DON'T RE-TYPE — On this side the material entries are read-only. The steward's job is to check what was submitted and move it forward, not to edit the requester's entries.
3. Finding Your Way Around
Material Steward has two screens:
- The Request Summary — the list of requests submitted for stewardship, where you search, open, and start new system-based requests.
- The Request Detail — the screen for a single request, where you review its entries and accept it.
You move from the summary to a detail screen by opening a request, and back again with the Back link at the top of the detail screen.
4. The Request Summary
The summary — titled Material Request Summary — lists the requests awaiting stewardship, one per row.
| Column | What it shows |
|---|---|
| Action | The Open icon, which takes you into the request (see below). |
| Requester | Who raised the request. |
| Requester Group | The group the request belongs to. |
| Template Used | The template the request is based on. |
| Data Steward | The steward responsible for it. |
| Count of Entries | How many material entries the request contains. |
| Status | Where the request is in its journey (see Understanding Request Status). |
| Date Created / Date Updated | When the request was created and last changed. |
Finding a request — use the search area above the table to filter the list (for example by requester or status), and reset it to show everything again.
5. Opening a Request
To review a request, click the Open icon in its Action column. This takes you to the request's detail screen, where you can see its entries and, if it's ready, accept it.
The Back link at the top of the detail screen returns you to the summary.
OPEN IS HOW YOU GET IN — There's a single way into a request from this page: the Open icon in the Action column. There's no separate "view" button — that one icon opens the full detail.
6. Reviewing and Accepting a Request
The detail screen — titled Material Request Detail — shows everything the steward needs to review the request.
At the top of the screen
- The Requester and Group Name are shown for reference (read-only).
- The Status is shown on the right, along with the Accept button when the request is ready to be accepted.
The entries table
The table lists every material entry the requester submitted. On this steward view the entries are read-only — you're reviewing them, not changing them.
Accepting a request
When a request has been submitted (and you have edit permission), an Accept button appears next to the status.
- Review the entries in the table.
- Click Accept.
- In the Accept Request dialog, choose a steward from the Assign to Data Steward drop-down.
- Click Accept to confirm.
The request's status changes to Accepted, it's assigned to the steward you chose, and it moves on toward processing.
ACCEPT IS ONLY FOR SUBMITTED REQUESTS — The Accept button appears only while a request is in the Request Submitted state. A request that hasn't been submitted yet, or that's already been accepted, won't show it.
7. Creating a System-Based Request
As a steward, you can also start a request yourself, straight from a system template — useful when the data need originates from the system rather than from a requester. This is available only if your steward profile has "Create system based request" enabled.
Steps
- On the summary, click Create System Based Request.
- Step 1 — choose a template. In the List of System Based Templates drop-down, pick the template you want, then click Next. (You must choose a template before you can continue.)
- Step 2 — enter the criteria. Fill in the Material Number and Material Description. You can click Previous to go back and change the template.
- Click Initiate to create the request.
You'll see a confirmation that the system-based request was created, and it appears in the summary list.
A TWO-STEP DIALOG — Creating a system-based request happens in two steps: first the template, then the material criteria. Next and Previous move between them, Initiate creates the request, and Cancel closes without creating anything.
8. Understanding Request Status
Requests move through several statuses. As a steward, the ones you'll act on most are Request Submitted (ready for you to accept) and Accepted (handed on for processing).
| Status | What it means |
|---|---|
| Open | The requester is still preparing the request; it hasn't reached you yet. |
| Request Submitted | The request has been submitted and is ready for a steward to accept. |
| Accepted | You've accepted the request and assigned it to a steward. |
| Being Processed | The requested data is being worked on. |
| Draft Version | A draft of the result is in progress. |
| Completed | The request has been fully processed and closed. |
YOUR MAIN MOMENT IS "ACCEPT" — The steward's key action is accepting a Request Submitted request, which assigns it and moves it to Accepted. From there it progresses through processing to completion.
